Short Notice Cancellation Policy

At Haileybury Dental, we strive to provide care in a manner that best meets your needs and schedules. However, missed appointments and last-minute cancellations affect our ability to deliver quality services and to support patients in achieving optimal dental health.
We value and respect our patients’ time and always strive to provide appointments at our earliest availability. When you schedule an appointment, our team reserves that time specifically for you.

Cancellation and Rescheduling

If you are unable to attend your scheduled appointment, we are happy to reschedule, provided you give us at least 24 hours notice. This advance notice allows us to offer the time to another patient.
​
If less than 24 hours notice is provided or if an appointment is missed without notice, a short notice cancellation fee of $50.00 will apply. This policy ensures we can continue to accommodate urgent and waitlisted patients in need of care.

Appointment Confirmations and Reminders
​​
All appointments are confirmed at the time of booking. As a courtesy, our office also provides automated email and SMS reminders. Please note that patients are responsible for attending, cancelling, or rescheduling their appointment(s). Failure to receive a reminder message does not exempt patients from our cancellation policy.

Illness and Weather-Related Cancellations
​
We encourage patients to plan during the winter season when weather events may affect travel. If you become ill, please contact our office as soon as symptoms develop. Illness-related cancellations made with less than 24 hours notice are still subject to the short notice cancellation fee.

If our office is open, it is expected that patients attend their scheduled appointment.​

Short Notice Cancellation Fees
​
Our dental office will require at least a full 24 hours notice for appointment cancellations and does not accept cancellations made on weekends.
Cancellations must be made during regular business hours (Monday through Friday). For example, to cancel a Monday appointment, you must contact us no later than noon the Friday before. Messages left outside of business hours will be considered received on the next business day.
This means if you are booked in with the dentist and hygienist and do not show up, your cancellation fee is $100. If a parent with two children does not show up for three cleanings booked on the same day, the cancellation fee would be $50 per person totaling to $150.

Cancellation fees for nitrous sedation is $100 per appointment and moderate sedation appointments (combined nitrous oxide and oral sedative) are $300 per scheduled hour. This means if you are scheduled for 1.5 hours for moderate sedation, your cancellation fee would be $450
Rebooking After a Short Notice Cancellation or No Show
Any outstanding cancellation fees must be paid prior to re-booking.
The cancellation fee policy is applicable to all patients, regardless of insurance type or insurance coverage.

Missed Appointments and Deposits
​
Patients who miss more than one appointment or repeatedly provide insufficient notice may be required to pre-pay for future appointments.
​
In addition, appointments 1.5 hours or longer require a 50% deposit of the treatment cost at the time of booking.
